Michael J. Colligan Lodge Usage Policy
Facility Rules
1. All renters are expected to abide by the rules and regulations set
forth in these Usage Policies.
2. All renters are expected to take pride in and assume responsibility
for the appearance and condition of the Lodge.
3. The City reserves the right to grant or refuse rental to anyone or to
terminate rentals at their discretion.
4. The Lodge is a smoke free facility. Smoking in the facility, terrace
or patio is strictly prohibited.
5. The sale of alcoholic beverages on Lodge property is strictly
prohibited except as otherwise provided in these rules (See Alcohol
Service Policy).
Renter Liability
1. All renters are responsible for the personal conduct, safety and
welfare of its volunteers, representatives, employees, contractors, and
guests while on the premises.
2. Renters shall agree to be fully responsible for all damages, costs
and expenses associated with their use of the Lodge facility. This
includes, but is not limited to rental fees, careless misuse,
unreasonable conduct, theft or vandalism.
Facility Use
1. Renters may not attach any fixtures, or change, alter or make
additions to the Lodge walls, floors or ceilings.
2. City personnel are not responsible for any materials or equipment
brought in or used for the renter's function. All such items must be
removed immediately following the renter's function.
3. Renters must keep the facility clean and free of trash and hazardous
materials. Any area not left in good order and repair will be cleaned
and repaired by the City as necessary and the renter agrees to be billed
and shall be liable for any and all costs.
4. The City staff will have access to any rented space for all Lodge
purposes during the rental period provided the activities of the Lodge
personnel do not unreasonably interfere with the authorized activities
of the renter.
5. The City reserves the right to make any determination in regard to
the admission of any flammable materials, liquid, or gases of any type
to the Lodge. The renter shall not use or allow use, on the premises,
any articles, substances having an offensive odor or any dangerous,
explosive or rapidly burning matter or material of any kind. The rental
shall adhere to the laws of the City of Hamilton, the State of Ohio and
the rules and regulations of the Hamilton Fire Department in regard to
such matters.
6. Renters are not permitted to borrow equipment or move equipment in
and around the Lodge.
7. The renter will not use the City of Hamilton name on any material in
a manner that infers that the City is sponsor/co-sponsor or in any way
affiliated with the renter's group. The City's name may be used only for
reference to the event location unless a sponsorship or co-sponsorship
agreement has been approved by the City Manager.
Alcohol Service Policy
1. Beer, wine and spirituous liquor may be served to those of legal age
at private, by invitation only functions booked in the Lodge. Spirituous
liquor is defined as all intoxicating liquors containing more than
twenty-one percent of alcohol by volume.
2. Servers of beer, wine and spirituous liquor must be employees of an
approved food caterer who posses a liquor license issued by the Ohio
Department of Liquor Control (also need a copy of insurance, naming the
City as an additional insurer). Those employees must have received
training in alcoholic beverage service. Arrangements for servers must be
approved by the Lodge management prior to the scheduled event. Under no
circumstances may sponsors or guests of the event act as servers of any
alcoholic beverage.
3. Permission to serve beer and/or wine at a function must be granted by
the City prior to the event.
4. Beer, wine and spirituous liquor service must be consistent with the
regulations of the Ohio Department of Liquor Control. Alcoholic
beverages may be consumed on the premises of the Lodge by individuals
twenty-one years of age or older, who if requested present to the server
a valid photo identification. Servers may, at their discretion, require
two pieces of identification to verify the legal age requirement. No
underage person may be allowed on the premises while possessing or
consuming alcohol.
5. The renter and caterer are responsible for assuring that alcoholic
beverages are not served to individual who appear to be inebriated. The
servers and Lodge staff reserve the right to make the determination of
whether any individual appears inebriated.
6. Non-alcoholic beverages and food must be available throughout an
event where beer and/or wine is being served.
7. Approved food caterers must provide the beer, wine and spirituous
liquors for events.
